Copsemark privacy policy
Your surveys are files you control. Optional iCloud, maps and practice-portal features share information with the services you choose.

The short version
You do not need a Puff Labs or practice-portal account to record a survey on your iPad. Copsemark does not automatically upload your surveys to Puff Labs. If you connect to a practice portal and publish an issued pack or submit work, that server receives the information you send. Feedback email, iCloud, map services and App Store transactions are described below. Copsemark does not use advertising identifiers or advertising trackers.
Where your surveys live
A survey file holds your records, imported drawings, photographs and other attachments. You choose where to save it using Files: on your device, in iCloud Drive or with another file provider. Recovery copies, retained originals and pending portal deliveries can also be stored on this iPad. Exporting or sharing creates additional copies at the destination you choose.
If you use iCloud Drive, Apple stores and synchronises the files under Apple's privacy policy. Optional practice-profile sync also uses your iCloud account. Other Files providers handle saved files under their own policies. Deleting Copsemark can remove its local files and recovery copies; it does not remove copies saved with other providers, shared with recipients or published to a portal. Keep a separate backup of work you need to retain.
The optional practice portal
The Copsemark-hosted client portal is being prepared and is not open for client use yet. Connecting to a configured practice server requires an account. The supplied portal uses email sign-in links by default; Apple and Google sign-in are available only when their providers are configured. The server receives your name, email address and the sign-in information needed to verify your identity. It keeps account identifiers, project membership, roles and session information to control access. The iPad stores its session in Keychain without syncing it through iCloud. Legacy password authentication is disabled by default; an independently operated server enabling it must explain its own credential handling.
When you publish an original, the server stores the issued archive, its manifest and the associated job information. These can contain client names, site and practice addresses, contact details, drawings, record measurements, precise site or recorded receiver locations, photographs and recommendations. Work reports, evidence, client concerns and practice decisions are also stored with their submitting account and timestamps. Only share information you have authority to disclose.
Project access depends on the roles and invitations set by the practice. Published originals and submitted reports form the project history; signing out or revoking someone's access does not delete that history or copies already downloaded. Pending iPad deliveries and browser drafts can remain locally until you deal with them. A saved draft is not automatically a published report.
The server operator handles hosting, access, retention, backups and data-rights requests. Check the operator's privacy notice before connecting. If account email is configured, its mail provider processes the address and account recovery or security message. Contact your practice or server operator for requests about portal records; contact Puff Labs below for information held by Puff Labs. A portal account is separate from your Apple Account and App Store purchase.
Other network services
- Planning constraints and data sources. Requests to public planning or environmental services, or a source you configure, include the selected area and query. Those services can see network information such as your IP address. A chosen site's location can be confidential even when the request does not contain your name.
- Apple field map. Apple supplies the optional map imagery and may process the requested map area or position under its privacy policy. An imported offline MBTiles map is stored locally; importing it does not upload it to a map provider.
- MapTiler downloads in configured builds. These are unavailable without a configured API key. If enabled and you request a region, MapTiler receives the map area, style and tile requests and can process network information under its privacy policy. Regions stay on this iPad outside the survey file and can expire. Using your own offline MBTiles does not require a MapTiler download.
- App Store and TestFlight. Apple processes purchases, free-trial transactions and testing under its terms. The app checks signed transaction information such as the product, purchase date and entitlement status; it does not receive your payment card details. The released app's intended gift period is 21 days with no automatic payment afterwards. Free-feedback beta access does not start that gift clock. Apple may process testing feedback and diagnostics through TestFlight.
- Feedback and support. The feedback button opens an email to leonfigueira@gmail.com. Nothing is sent until you send the email. Puff Labs then receives your email address, message and any attachments you choose, and uses them to respond and improve Copsemark. Your email provider also handles the message. Avoid including confidential client information unless you have permission.
Permissions
- Camera and photo library. To attach photographs to records. Photos can be included in recovery copies, exports or portal submissions when you use those features.
- Location. To show your position or position a record from the iPad or an external receiver. Captured accuracy and provenance can be stored with the record and shared in an export or published pack. Reported receiver accuracy is not proof of survey accuracy. Field-map providers can process the area or position shown.
- Microphone and speech recognition. Optional note dictation requires on-device recognition. Copsemark refuses that dictation when on-device recognition is unavailable instead of sending the audio for remote recognition. The resulting text becomes part of your note.
You can record a survey without granting these permissions; the corresponding camera, positioning or dictation feature needs its permission.
This website
The public Copsemark website is prepared for hosting by Vercel, with Cloudflare providing the domain and DNS. Hosting services process request information such as IP address, requested pages and browser information to deliver and protect the site. This site does not add advertising trackers, analytics scripts or third-party fonts. It has no survey upload or account login form. Contact and feedback links open your email app; no message is sent until you send it.
See Vercel’s privacy notice and Cloudflare’s privacy policy for their service information. The hosted portal’s actual processing, providers, retention and rights arrangements will be described before it opens; website hosting alone does not upload your survey files.
Children
Copsemark is a professional arboricultural tool and is not directed at children.
Access, correction and deletion requests
You control your saved local files. Copies held by Apple, another Files provider, a recipient or a practice portal are managed separately. Contact the relevant operator about access, correction or removal of information it holds, including its retention and backup arrangements. For feedback email or other personal information held by Puff Labs, contact leonfigueira@gmail.com. We will respond to the request and explain any applicable retention requirement; signing out alone does not delete a portal account or its records.
Changes
If this policy changes, the date at the top changes with it, and a material change will be described in the app's release notes rather than slipped in quietly.
